Exhibitor Terms, Details, and Code of Conduct

Vendor Set Up Times: Thursday April 3th, Booths 3:00pm -10pm, Artist Alley Tables & Gamer Garage Sale Tables: 5:00pm-10:00pm.

Friday April 4th: All vendors: 8:00am -11:00am. Failure to check in by 11am on Friday the 4th will result in a cancellation of your vendor space without a refund.

Vendor Move Out Times: Sunday April 6th, 2025 from 5:00pm – 11:00pm.

Game On Expo Vendor Hall Hours of Operation (including 1 Up VIP access hours)

Friday April 4th, 2025: 12:00pm – 8:00pm

Saturday April 5th, 2025: 10:00am -8:00pm

Sunday April 6th, 2025: 10:00am – 5:00pm

1 Up VIP attendees get in one hour early each day, while the regular attendees get in one hour after the vendor room opens. Please make sure your vendor area is ready to go by the time the 1 Up VIPs enter each day. Failure to not be set up and ready on time will result in you not being able to vend at future Game On Expo events. This has been a serious issue at Game On Expo in the past, and we take this very seriously.

Booth space is extremely limited and is expected to go quickly as vendor spaces have sold out every year for Game On Expo. We recommend completing this form and submitting your payment as soon as possible to ensure your booth space. 

You, the Vendor agree to the following terms and conditions:

1. Full payment must be received within 30 days of the received invoice. After March 1st, 2025 invoice payments are due upon receipt of invoice. Your space will not be confirmed until payment is made.

2. Vendor set-up times and event times are strictly enforced. Vendors must have all booth items ready each day by the time the event is open to the public.

3. Vendors must be open and remain accessible to attendees during all hours of the Game On Expo event, and under no circumstances will begin moving displays until the event is completed on Sunday April 6th, 2025.

4. Payments for Wi-Fi, electricity, additional tables and chairs are handled by third party companies. If you are interested in these extras, please inquire, and Game On Expo can provide you the contact information.

5. At the conclusion of the Game On Expo, Vendor will properly remove all items, displays and other material from the booth, which includes proper trash disposal. If you are bringing special equipment or arcade machines, please talk to us in advance and we can make special accommodations for more additional move out time or assistance. Vendors must be moved out no later than 11:00pm on Sunday April 6th, 2025.

6. No food or drinks can be sold or given away by any Vendor without any prior approval of the Game On Expo team.

7. No outside music at your vendor spot is permitted within the vendor hall or convention center. This is a disturbance to the neighboring vendors.

8. Each person behind the vendor booth must have a visible vendor badge displayed. Each Vendor will be provided passes to the expo. Extra vendor badges can be purchased for a special discounted rate.

9. No smoking or alcohol is permitted on any part of the premises.

10. Maintain your vendor area immediately surrounding your space in a neat and reasonable manner free of garbage and debris. Failure to do so may subject Vendor to a fine or other appropriate sanction.

11. Game On Expo is a family friendly event, so any inappropriate items including but not limited to profanity and nudity (whether photos or hand drawn) must not be publicly visible in the vendor’s space. Failure to do so will result in Game On Expo asking to remove such items from your vendor space. A second warning will result in removal of your vendor space from the event.

12. Space assignment is in the sole discretion of Game On management. Game On Expo will try its best to accommodate your request, but cannot make any guarantees.

13. Vendor is solely responsible for paying any applicable state, local, and federal taxes, and for obtaining any required business licenses.

14. Vendor agrees to abide by all local, state, and federal law.

15. Vendor agrees to abide by all Phoenix Convention Center rules and regulations, a copy of which is available upon written request to the Game On Expo management.

16. Vendors will not hold Game On Expo responsible or liable for any breaches, losses, or damages to themselves or their property.

17. No bootlegging/knockoffs, or AI art creations of any kind are allowed at Game On Expo.

18. If you are selling any types of weapons or replicas, please notify the Game On Expo team for approval.

19. If Game On Expo has to postpone the event due to a pandemic or force majeure, vendor spaces will be carried over to a later reschedule Game On Expo event.

20. Vendors are not allowed to resell or sublease their space to another vendor without any prior approval by Game On Expo.

21. Vendors must be set up and be at the event during allocated vendor times.  Failure to not be set up on time will result in not being allowed back to sell at future Game On Expo events.

22. If you are an Artist Alley or Gamer’s Garage Sale table, your display behind you must not block the pass through path behind your chair for other vendors to walk through.

23. No refunds will be provided after March 1st, 2025. If you are unable to be at Game On Expo after this date, Game On Expo can carry your vendor space to Game On Expo 2025’s event if requested.

24. No stealing/taking any tables for chairs from other vendors or other areas of the event. If you need extra tables or chairs you can either bring them yourself or rent them from CSI who will be on site and have extras available to rent.

You, the Vendor agree to the following terms and conditions:

  2. Vendors must be open and remain accessible to attendees during all hours of the Game On Expo event, and under no circumstances will begin moving displays until the event is complete on Sunday March 17th, 2024.
  3. Payment for a booth includes only the booth space itself, table with tablecloth, two chairs, and vendor sign. Payments for Wi-Fi and electricity are handled by third party companies. If you are interested in either or both, please inquire, and Game On Expo can provide you the contact information.
  4. At the conclusion of the Game On Expo, Vendor will properly remove all items, displays and other material from the booth, which includes proper trash disposal. If you are bringing special equipment or arcade machines, please talk to us in advance and we can make special accommodations for more additional move out time or assistance.  Vendors must be moved out no later than 11:59am on Sunday August 17th, 2024.
  5. No food or drinks can be sold or given away by any Vendor without any prior approval of the Game On Expo team.

  11. Management for Game On, the City of Phoenix or anyone with authority has the right to refuse or revoke any application or deny access to and/or remove vendors from the event at any time prior to or during the event.
  12. No refunds will be given under these circumstances.
  13. Vendor is solely responsible for paying any applicable state, local, and federal taxes, and for obtaining any required business licenses.
  14. Vendor agrees to abide by all local, state, and federal law.
  15. Vendor agrees to abide by all Phoenix Convention Center rules and regulations, a copy of which is available upon written request to the Game On Expo management.
  16. Vendor agrees to abide by any current rules and regulations, as well as any rules or regulations that Game On Expo may notify Vendor in writing.
  17. Vendor will not hold Game On Expo responsible or liable for any breaches, losses, or damage to themselves or their property.
  18. No bootlegging of any kind is allowed at Game On Expo.
    If you are selling any types of weapons, please notify the Game On Expo team for approval.
  19. No reselling of any vendor space is permitted.
  20. No refunds will be provided after Feburary 1st, 2024.
